HR Coordinator (8 Month Fixed Term Contract)
Job description
Role:
We are looking for a hands on, organised, and people focused HR Coordinator to support the daily HR operations at our fast paced food manufacturing site. This role works closely with operational teams such as Production, Logistics, and Transport to provide practical HR support that aligns with business needs. You will play a key role in maintaining HR compliance, managing employee relations, coordinating recruitment, and promoting employee engagement across the site.
Key Responsibilities:
Operational HR Support:
Serve as the first point of contact for HR queries from staff and line managers across all site departments
Provide practical, compliant support with employee relations matters, including disciplinaries, grievances, investigations, and capability issues
Support absence management processes: log return-to-work interviews, coordinate wellbeing reviews, liaise with Occupational Health, and assist in planning for long-term absence
Attend and facilitate employee forums, contributing to effective two-way communication with the workforce
Assist managers with appraisals and development plans that align with operational goals
Partner with the Lincoln Fresh and Transport teams to ensure consistent HR support across all shifts and business units
Participate in daily operational meetings as required
Recruitment & Onboarding:
Advise managers on recruitment strategies and assist with job design and workforce planning
Coordinate recruitment campaigns, interviews, and selection processes, including preparing interview packs and candidate assessments
Support both hourly and salaried recruitment as required
Manage the end-to-end onboarding process for new starters, including right-to-work checks, issuing offer letters, and system setup
Deliver HR induction sessions for new employees and coordinate initial training requirements
Systems, Reporting & Compliance:
Maintain accurate employee records across HR systems (e.g., HR Manager, Mitrefinch), ensuring compliance with legal and audit requirements
Generate regular KPI reports on absence, working time, turnover, and other key metrics for leadership review
Support ethical and external audits (e.g., SEDEX, BRC) by ensuring all personnel files and compliance documentation are up to date
Contribute to reviewing, drafting, and updating HR policies to ensure legal compliance and alignment with best practice
Engagement & Development:
Build strong relationships with staff, supporting managers in resolving employee concerns and setting clear expectations
Coordinate mediation and resolution processes to foster a positive workplace culture
Identify training needs in collaboration with line managers and monitor ongoing learning and development activities
Support internal communications and engagement initiatives to boost morale and retention
Other Responsibilities:
Review and maintain up-to-date job descriptions across departments
Support broader HR projects and initiatives as required by the HR Business Partner or site leadership
